CANCELLATION AND REFUND POLICY

GENERAL TERMS: All cancellation requests must be submitted in writing via email to the Secretariat at secretariat@mindtce.com.my. Verbal cancellations will not be accepted.

• Bank Charges: All bank handling and currency conversion fees must be paid by the sender at source ("Sender pays all fees and taxes"). Any shortfall will be billed to the registrant.
• Processing Fee: All refunds are subject to a strict administrative processing fee of MYR 200.
• Currency Policy (International Participants): To protect against currency fluctuation, international invoices will be issued in USD based on the prevailing exchange rate on the exact date of invoice generation. The final net amount received by the Secretariat must strictly equal the stated MYR base price.

A. FOR EXHIBITORS (Booths & Kiosks)

Applies to companies booking exhibition space. Terms are strictly enforced to cover sunk costs.

1. Booking & Payment Schedule

i. Standard Shell Scheme Booths (9sqm)

• Total Fee: MYR 9,000
• Deposit: A MYR 5,000 deposit is required upon booking a booth.
• Balance Payment: The remaining balance of MYR 4,000 must be paid in full before 29th September 2026.

ii. Kiosks (2sqm)

• Total Fee: MYR 2,000
• Deposit: A MYR 1,400 deposit is required immediately to book a kiosk.
• Balance Payment: The remaining balance of MYR 600 must be paid in full before 29th September 2026.

iii. Late Bookings (Applies to both Booths & Kiosks)

• Any bookings made after 1st August 2026 will require FULL PAYMENT (100% of the total fee) upfront to secure the space.

2. Strict Cancellation & Refund Terms

Cancellations made before 29th September 2026:

• MSNT will retain 75% of the total fee.
• The Exhibitor is eligible for only a 25% refund of the total fee paid.

Cancellations made on or after 30th September 2026:

• NO REFUND (0%) will be issued.
• The full amount is forfeited to MSNT. MSNT reserves the right to resell the booth/kiosk space with no compensation to the original exhibitor.

B. FOR SPONSORS

Applies to all sponsorship packages. Strict adherence is required due to marketing and production commitments.

1. Payment Terms

• Confirmation: Sponsorship is confirmed only upon receipt of full payment or a 50% non-refundable deposit.
• Late Sponsorships: Any sponsorship confirmed after 1st August 2026 requires immediate payment of 100%.

2. Strict Cancellation & Refund Terms

• Cancellations made before 29th September 2026:
  • The Sponsor is eligible for a refund of only 25% of the total sponsorship fee.
  • MSNT retains 75% to cover marketing exposure already received.
• Cancellations made on or after 30th September 2026:
  • NO REFUND (0%) will be issued.
• Production Costs: In addition to the forfeiture of fees, if MSNT has already printed materials (e.g., bags, lanyards) with the Sponsor's logo, the Sponsor is liable to reimburse MSNT for 100% of the production costs.

C. FOR CONFERENCE DELEGATES

Applies to individual conference attendees.

1. Cancellation Timeline

• On or before 17 August 2026: Eligible for a 75% refund of the fee paid.
• On or before 17 October 2026: Eligible for a 50% refund of the fee paid.
• After 17 October 2026: No refund will be issued.

2. Substitutions

Substitutions (transferring a pass to a colleague) are permitted at no extra charge if notified in writing 7 days before the event.

D. EVENT CANCELLATION & LIABILITY

1. Force Majeure 

MSNT shall not be liable for any refund or compensation if the event is cancelled, postponed, or relocated due to "Force Majeure" (e.g., pandemics, government regulations, disasters). In such cases, the Organizer reserves the right to retain fees to cover sunk organizational costs.

2. Limitation of Liability 

MSNT is not responsible for reimbursing travel, accommodation, or visa costs under any circumstances.
